Enforcing Workforce Compliance Through System-Level Controls

To ensure compliance with statutory labor requirements and internal governance standards, DIFACTO sought to strengthen system-level controls around attendance continuity and timesheet discipline within its factory operations.

DIFACTO Robotics and Automation Private Limited operates in a factory-driven workforce environment where strict adherence to labor policies and statutory compliance is essential for operational continuity and audit readiness.

As part of its internal governance and statutory compliance initiatives, DIFACTO required enhanced controls to prevent continuous working without mandatory rest days and to ensure disciplined timesheet submissions. The objective was to embed these compliance rules directly into the system to eliminate manual monitoring

Problem Statement & Key Challenges

  • Employees were able to log attendance for extended continuous periods without mandatory rest days.
  • Users could access systems without submitting the previous day’s timesheet, resulting in incomplete work-hour records.
  • Manual follow-ups were required to enforce compliance.
  • Lack of automated controls posed challenges during audits and inspections.

Solution Approach
(Statement of Work & Deliverables)

TuvisTech implemented two system-level enforcement mechanisms within Zoho People:

Continuous Attendance Control

  • Employees are restricted from logging attendance for more than 9 consecutive working days.
  • Attendance is automatically blocked beyond this limit until a mandatory rest day is recorded.
  • This ensures compliance with factory policies and statutory labor norms.

Timesheet Submission Enforcement

  • System login is restricted if the previous working day’s timesheet is not submitted.
  • Access is restored immediately upon successful submission.
  • This guarantees that all work performed is backed by accurate and timely time records.

Solution Overview

  • Enforced statutory and factory compliance on continuous working-day limits
  • Ensured complete and timely timesheet submissions
  • Eliminated manual follow-ups and policy exceptions
  • Implemented strong, auditable system controls suitable for internal audits and regulatory inspections

Outcomes

  • Assured compliance with statutory working-day regulations
  • Improved accuracy and completeness of timesheet data
  • Reduced administrative effort through automation
  • Enhanced audit readiness with system-enforced controls

Conclusion

By embedding compliance rules directly into system workflows, DIFACTO successfully automated workforce governance, minimized compliance risks, and established a transparent, audit-ready operational framework.
